When staff leave or no longer need access to the system, a staff member should be removed from having access.
Note: You must have "Owner" level Partner Portal user permissions in order to remove a staff member.
To remove a staff member from the Partner Portal:
1. From the Partner Portal, navigate to 'Admin settings'>'Staff'
2. Locate and click on the Staff member's name from the list of staff.
3. Within the 'View staff member' area, click 'Remove this staff member'
4. A pop-up window opens. You must reassign all clients to a replacement staff member.
Choose a replacement staff member from the drop-down list and click 'Next'.
5. A confirmation window appears.
Note: The reassignment of clients and removal of the staff member will happen overnight.
Once the staff member has been removed, their account can no longer be accessed. All staff removals are final and cannot be undone.
Click 'Remove' to proceed.
6. The removal process has now been triggered and the Staff will show as being removed tonight.
During the overnight removal process, the following task migrations will occur:
Downgrade to Client account: Your staff member will be downgraded to a Client account type.
Digital Forms: All digital forms will be reassigned to the replacement staff member.
eSignature requests: All esignature requests will remain visible in the Partner portal to all staff assigned to the Client. Note, if the removed staff is a signer of an esignature request, they will still have the ability to sign (by using their Client type account)
To-Dos: 'Active' To-dos assigned to the removed staff member will be reassigned to the replacement staff member. 'Completed' To-dos will remain visible in the portal to all staff assigned to the Client.
Rooms: The replacement staff member will automatically take the place of the removed staff member in all open Rooms. Please note that if the client belongs to an external Cobrand, the new staff member will not be added to the Room.
Client Permissions: The replacement staff member will take over all permissions held by the removed staff member. If the client is an 'External client', the replacement staff member will not be included in the client's Team.
