Before you begin
Prior to starting Rooms in your portal, it is vital that your firm’s Services and Client Survey configurations are set up and reviewed. These areas assist with acknowledging the needs of your clients.
Creating Rooms
All clients, whether on Starter or Pro, can use the rooms feature.
A client/entity must first be set up in the portal in order for a Room to be created. See How to add clients.
Rooms can be created through the Rooms area or the Lead Generation area in your partner portal. Only you can create a Room, clients do not have this capability.
To create a Room for a client or entity :

In your Partner Portal navigate to Rooms.

Click ‘Create a Room’

Add the details for the new room you want to create.
Select the client or entity, Room Type (usually the service you are providing), and the Room name (description of the room). Click “Create a Room”

The client or entity will NOT receive a notification that a Room has been created. If you wish to do so, once in the Room click 'Email members'.
- The Room has now been created. The Room will open in the Activity section.
NOTE: If creating a Room for an individual client, by default the professional and the client/co-owners are automatically added to the Room as members.
If creating a Room for an entity, by default only the professional and the entity are Room members. To add Authorised Users (of the entity) or other Team members to the Room, do so via the Members section.
To add a Room for a client or entity from the Client List:
- From your partner portal, type the client/entity name into the search bar at the top of the screen.
Hover your mouse over the client/entity name and select 'Client List'.
- Your client/entity is shown within the Client list. Click the Room icon to create a Room.

A pop-up window appears from within the Rooms area.
Select the Room Type (usually the service you are providing), and the Room name (description of the Room). Click “Create a Room”
- The Room has now been created and is visible within your Rooms list.
To add a Room for a client from the Lead Generation area :
Upon logging into the portal, a client will complete a survey, configured by your firm, and depending on the yes/no answers, an opportunity is created.
Opportunities show services a client may need assistance with and are listed on the opportunities board (Lead generation>Opportunities)

In your Partner Portal, navigate to Lead Generation >Opportunities.

A list of the services is revealed and if clients have requested assistance, a red dot will be seen next to the service name.

Use the 'Show opportunities with active Rooms' toggle as necessary to hide/unhide opportunities that already have an active Room.
NOTE: Using this toggle helps to filter opportunities raised by your clients, whom already have an active Room for that service. Turning the toggle OFF allows you to narrow down the list to just those opportunities that do not already have an active Room open. From there, you can create a Room as shown in step 4.
- Click on one of the services and a list of clients who need assistance with that particular service will be displayed in the drop down list.
The client name, date of survey, status and Action details will be displayed. You also have the option to create a Room based on the opportunity.

A pop-up window appears.
Set up the Room name and description and click 'Create a room'.
- The Room has now been created and is visible within your Rooms list.
