Let us do the hard work for you! Upload a CSV file to batch upload clients, staff members and entities.
Before you begin
- Ensure you have exported your client list data from your practice management software and that it is saved in CSV file format.

Note: Bulk uploading entities will not create the entity as a workspace, it will only add them as a "Team member" to the individual/client group Team. Once added, a request to create a separate workspace for the entity can be sent from the 'Team' section.
- Note: Only staff within the portal with Owner access can complete this task.

To upload your Client list via CSV:

In your Partner Portal, go to Client>Client List and click ‘Add A Client’>'CSV file upload'.

Within the CSV file upload screen, select 'Client list CSV' and click 'Download client list CSV template'.
- When the Client list CSV template has downloaded, it will appear as a file at the bottom of your browser.
Click on the file to open the template. -
The Client list CSV template will open. Enter the client information in the appropriate columns (explanation on each column's header below) and save your file as a CSV.
NOTE: The default headers of the template must not be modified. Your client's information should be added under each header.
Name: Client's first and last name.
Email: Client's email address.
Note: Each client must have their own unique email address. If the email address is listed against more than one client, the file will not be processed. Any clients you are unable to upload (in the case where the email address is already listed against another client) can added by you or the client within the client's portal. Accountant: The staff member assigned to the client's file. This must be in email format.
Note: Although listed as 'Accountant', this header does not change or effect the staff members role within your firm. Staff members must exist within your portal prior to CSV upload otherwise the client will not be added. You can nominate one staff member to add all clients and then assign to other staff internally once the upload is complete. See How do I assign staff to clients in bulk?
Phone number: Client's phone number. This is an optional field.
Is Business Account: If the client is a business enter 'TRUE'. If the client is an individual enter 'FALSE'.
- In the 'Upload your CSV file' area, choose 'Client list CSV' and click 'Browse' to locate and upload the file, or drag and drop it into the space provided.
- Once selected, a confirmation box appears to acknowledge that the file has been uploaded.
You are also required to 'Set access level to clients wealth portals'.
This will denote the access level the individual staff member has to the client file. - Once you have set your access level, click 'Save and next'.
A confirmation message is shown upon success of the upload. - You will be notified by email once the client list has been uploaded.
Once notified, log back into your Partner Portal and navigate to Clients > Client List.
You will see all uploaded clients now exist within the client list with the word 'NEW' next to them.
Note: Clients brought in via CSV upload are not automatically sent an invitation to the portal. To find out how to invite clients to the portal see How do I send clients an invitation to their portal?
Please allow up to two business days for the data in the CSV file to appear in your portal. Client accounts are created as Starter by default and you can then choose to upgrade them to Pro. To find out more about upgrading your clients' account, see How do I perform bulk actions on the client list?
To upload your staff members via CSV:

In your Partner Portal, go to Client>Client List and click ‘Add A Client’>'CSV file upload'.
- Within the CSV file upload screen, select 'Staff CSV' and click 'Download member list CSV template'.
- When the Staff CSV template has downloaded, it will appear as a file at the bottom of your browser.
Click on the file to open the template. - The Staff CSV template will open. Enter the staff information in the appropriate columns (explanation on each column's header below) and save your file as a CSV.
NOTE: The default headers of the template must not be modified. Your staff information should be added under each header.
Name: Staff member's first and last name.
Email: Staff member's email address.
Is Default: Allows you to make the staff member the default/main staff member for your firm. If a client signs up using the your portal self registration link, the default user is listed as the owner of that account.
Is Admin: If TRUE= This staff member will have access to the firm's entire client list, meaning they can view all clients and staff, assign/unassign staff to all clients and also filter staff on the client list. For more information see How do I manage permissions for my staff?
Override existing account: In the event that your staff member has an existing account with the portal but at a different firm, you can choose to override the existing account so that they are moved across to your current firm. - In the 'Upload your CSV file' area, choose 'Staff CSV' and click 'Browse' to locate and upload the file, or drag and drop it into the space provided.
- Once selected, a confirmation box appears to acknowledge that the file has been uploaded.
Click 'Save and Next'. -
A confirmation message is shown upon success of the upload.
You will be notified by email once the staff list has been uploaded.
Please allow up to two business days for the data in the CSV file to appear in your portal.
- Once you have been notified that the Staff upload is complete, navigate to Admin settings>Staff and you can view and edit the staff members as required.

Important: Uploading entities in bulk via CSV file will not create the entity as a workspace, therefore the entities will not appear in the client list. The entity will be uploaded as a "Team member" to the individual/client group Team and the workspace can be requested from there.

Client email: The client's email address that belongs to the entity
Name: The name of the entity.
Type: The type of entity. Entity type must be one of the following: Company, Joint Venture, Other, Partnership, Private company, Public company, Sole trader, Super fund, Trust.
- In the 'Upload your CSV file' area, choose 'Entity CSV' and click 'Browse' to locate and upload the file, or drag and drop it into the space provided.
- Once selected, a confirmation box appears to acknowledge that the file has been uploaded.
Click 'Save and Next'. -
A confirmation message is shown upon success of the upload.
You will be notified by email once the entity list has been uploaded.
Please allow up to two business days for the data in the CSV file to appear in your portal.
- Once you have been notified that the Entity upload is complete, navigate the Client's portal>Team> Entities to view the newly created entities.
